This page explains how Connecting Cities Group protects agent accounts, client information, submitted leads, uploaded documents, banking details, commission records and internal company communication.

1. Our Privacy Commitment

Connecting Cities Group (Pty) Ltd respects the privacy and security of every agent, applicant, client, vehicle owner, driver, renter, company representative and service partner who interacts with our platforms.

The Agent Portal exists to help approved agents submit verified leads, access training, communicate professionally, track commissions and participate in the growth of Connecting Cities Group. Because this portal may contain personal information, travel details, business leads, banking information and confidential company records, all users are expected to treat the platform with seriousness and responsibility.

We are committed to collecting only information that is necessary for business, operational, security, verification, payment and communication purposes.

2. Information We May Collect

Depending on the service, application or portal activity, Connecting Cities Group may collect the following information:

Agent / Applicant Information

  • Title, gender, surname, full names and initials
  • ID number or identity verification details
  • Contact number, WhatsApp number and email address
  • Province, town, area and physical address where required
  • Previous application reference number, or “Not Applicable” where no previous application exists
  • Agent email alias, for example SurnameInitials@agents.connectingcities.co.za
  • Uploaded supporting documents such as ID copy, proof of address, CV or bank confirmation letter

Client / Lead Information

  • Client full name and contact details
  • Pickup and drop-off addresses or location pins
  • Travel date, time, passenger count and luggage details
  • Service type requested, such as shuttle, rentals, staff transport, executives or VRAPU
  • Business or company details where the lead involves staff transport or corporate services

Commission & Banking Information

  • Agent banking details for approved commission payouts
  • Commission status, including pending, approved, paid, cancelled or under review
  • Payment records and internal notes linked to agent performance and verified leads
We do not request unnecessary private information. Any information requested must support verification, communication, operations, safety, payment processing or lawful business administration.

3. Why We Use This Information

Information submitted through the Agent Portal may be used for:

  • Reviewing and processing agent applications
  • Creating agent profiles and agent email aliases
  • Verifying leads submitted by agents
  • Preparing quotations, proposals, bookings and service assessments
  • Communicating with agents, clients, vehicle owners, drivers and companies
  • Tracking lead status and commission status
  • Paying approved commissions to agents
  • Preventing fraud, duplicate leads, fake applications and brand abuse
  • Training, performance review and internal administration
  • Meeting legal, tax, accounting and operational record-keeping requirements

4. Agent Account Security

Each approved agent must use their own login details. Agent accounts are personal and may not be shared, sold, transferred or used by another person.

Agents must:

  • Keep login details confidential
  • Use a strong password
  • Change passwords immediately if they suspect unauthorised access
  • Log out after using shared or public devices
  • Report suspicious activity to Agent Support
  • Use only their approved agent profile when submitting leads

Agents must not:

  • Share login details with friends, relatives or other agents
  • Access another agent’s account
  • Attempt to bypass security restrictions
  • Misuse the agent email system
  • Download, copy or distribute confidential company data without authorisation
Any account suspected of misuse, fraud, impersonation, unauthorised access or brand abuse may be suspended pending review.

5. Protection of Client Information

Agents may handle sensitive client information, including names, phone numbers, addresses, travel plans, vehicle details and business needs. This information must be treated as private and confidential.

Agents may only use client information for the purpose of submitting, following up or assisting with a Connecting Cities Group service request.

Agents are strictly prohibited from:

  • Sharing client details publicly
  • Posting pickup or drop-off addresses on social media
  • Using client numbers for unrelated marketing
  • Selling or transferring client information to third parties
  • Contacting clients for personal business outside Connecting Cities Group
  • Saving confidential records on unsafe devices

6. Uploaded Documents

Documents uploaded through the Agent Portal may include identity documents, proof of address, CVs, banking confirmations, business documents, vehicle documents or supporting lead information.

These documents are used for review, verification, approval, record-keeping and operational purposes. Access to uploaded documents should be limited to authorised administrators, management or appointed personnel who need the information to perform their duties.

Agents must upload genuine documents only. Submitting false, edited, stolen or misleading documents may result in rejection, suspension or removal from the portal.

7. Banking Details & Commission Payout Security

Banking details are collected only for commission payout purposes. Agents are responsible for ensuring that banking details are accurate, updated and belong to the correct account holder.

Banking information may be used to:

  • Verify payout details
  • Prepare commission payments
  • Maintain payment records
  • Resolve payout queries

Connecting Cities Group may request a bank confirmation letter or additional verification before processing commission payouts.

Incorrect banking details may delay payment. Connecting Cities Group is not responsible for delays caused by incorrect, incomplete or outdated information supplied by the agent.

8. Agent Email Alias & Communication Security

Approved agents may receive or use an agent email alias in the format:

SurnameInitials@agents.connectingcities.co.za

Example: MokabaneMW@agents.connectingcities.co.za

The agent email system may only be used for approved Connecting Cities Group agent-related communication.

Agent email may not be used for:

  • Personal business unrelated to Connecting Cities Group
  • Fraudulent communication
  • Harassment, threats or abusive messages
  • False pricing, fake approvals or fake company instructions
  • Sharing confidential information with unauthorised people

9. Administrator Access & Internal Control

Administrators and authorised management users may access agent applications, leads, commission records, uploaded documents and portal activity for operational and approval purposes.

Administrator access must be used responsibly and only for official company purposes, including:

  • Approving or declining agent applications
  • Reviewing submitted leads
  • Updating lead status
  • Adding commission records
  • Marking commission as pending, approved, paid or cancelled
  • Sending official notices to applicants or agents
  • Investigating misuse, fake leads, complaints or suspicious activity
Administrators must not use private agent or client information for personal reasons, unauthorised marketing or outside business interests.

10. Website & Portal Security Measures

Connecting Cities Group may use reasonable technical and administrative measures to protect the Agent Portal and the information submitted through it.

These may include:

  • Login access control
  • Password reset through registered email addresses
  • Role-based access for agents, managers and administrators
  • Restricted access to sensitive records
  • Secure form submissions
  • Email notifications for important actions
  • Administrative review of applications, leads and commissions
  • Removal or suspension of suspicious accounts

No online system can be guaranteed to be completely risk-free. All users must therefore use the portal responsibly and immediately report suspicious activity.

11. Password Reset & Account Recovery

If an agent forgets their password, they must use the official password reset option on the Agent Login page. The reset link must be sent only to the registered email address linked to the agent account.

Agents should never request password reset links through unofficial people, comments, public groups or social media pages.

12. AI Poster Studio & Marketing Content Security

Where the Agent Portal allows agents to create posters, captions, hashtags or marketing material using ChatGPT or AI tools, the content must remain professional, lawful and aligned with Connecting Cities Group brand standards.

Agents may use the Poster Studio to:

  • Create marketing posters for approved divisions
  • Create captions for social media
  • Create hashtags for promotions
  • Promote legitimate services of Connecting Cities Group
  • Recruit leads professionally

Agents may not create posters that:

  • Promise guaranteed income
  • Promise guaranteed employment
  • Promise guaranteed approval
  • Use false prices or unapproved discounts
  • Misrepresent the company
  • Attack competitors or clients
  • Contain offensive, discriminatory or misleading language
All AI-generated content remains subject to Connecting Cities Group review, correction, approval or removal.

13. When Information May Be Shared

Connecting Cities Group may share information internally or with authorised service partners only where necessary for legitimate business, operational, legal, safety or administrative purposes.

Information may be shared with:

  • Authorised administrators or management
  • Operational staff handling quotes, bookings or leads
  • Approved drivers, owners or service partners where necessary to deliver a service
  • Accounting or payment personnel for commission processing
  • Legal or compliance representatives where required
  • Lawful authorities where legally required

We do not support the unauthorised sale, public posting or careless sharing of private information.

14. Agent Conduct & Brand Protection

Agents represent the Connecting Cities Group brand. Every message, post, lead, poster, email and client interaction must protect the image of the company.

Agents must not:

  • Use the brand to mislead people
  • Open fake accounts using company identity
  • Collect money without written authorisation
  • Confirm prices without company approval
  • Use company information for private deals
  • Speak badly about clients, agents, management or partners publicly
  • Create panic, confusion or false expectations
Brand abuse, fake leads, unauthorised money collection, identity misuse or client information abuse may lead to suspension, removal and possible further action.

15. Your Rights & Responsibilities

Agents and applicants may request support regarding their account, application, profile information, password access or commission-related information.

Users are responsible for:

  • Providing accurate information
  • Keeping account details updated
  • Protecting login credentials
  • Reporting incorrect information
  • Using the portal lawfully and professionally
  • Respecting client, company and agent confidentiality
